Rotation cycle
- Rotations start in February, May, August, and November.
- Each rotation starts on the first Wednesday of the cycle month.
- Each rotation ends the day before the next cycle starts.
- New 3-month rotations need fresh trainee assignments and do not roll forward automatically.
Shift types
- Normal weekdays have Evening 6PM-8PM and Night 8PM-8AM.
- Saturdays, Sundays, and UK bank holidays have Full day 8AM-8PM and Night 8PM-8AM.
- Saturdays, Sundays, and bank holidays do not have evening shifts.
Night rules
- 24 hours off is required after a night shift before non-night work.
- Maximum 2 night shifts per trainee per Monday-Sunday week.
- Trainees can select multiple night grouping options, for example weekday and weekend blocks.
- Night grouping options: no consecutive nights, 2 in a row, 4 in a row, weekend block, or flexible.
- Four-night and weekend night blocks require a 14-day no-night gap afterwards.
- Single night pattern blocks further nights within 7 days.
Evening rules
- Evening shifts cannot be assigned on consecutive days.
- Auto-generation spaces evening shifts using nearby-evening penalties.
Working hour rules
- Auto-generation and manual assignment prevent trainees exceeding 48 scheduled hours in a Monday-Sunday week.
- Full day and night shifts count as 12 hours; evening shifts count as 2 hours.
Weekend full-day rules
- Saturday and Sunday full-day shifts can be grouped for the same trainee.
- Auto-generation prefers pairing Saturday and Sunday in the same weekend.
- When weekend days are assigned separately, auto-generation balances Saturday and Sunday exposure to avoid repeated same-day patterns such as multiple Sundays.
Trainee/admin exceptions
- Trainees can mark individual dates as available or unavailable.
- Trainees are allocated to one 3-month rotation block only; allocations do not roll forward into the next rotation.
- Deleting a trainee from a rota removes only that 3-month assignment and keeps the user account.
- Admins can set weekday exceptions such as no Mondays or no weekends.
- Admins set targets for Full day, Evening, and Night shifts across the whole rotation block.
- Remaining unallocated shifts stay empty and are listed as locum/uncovered shifts.
Privacy and access
- Trainees see only their own trainee page.
- Trainees do not see other trainee names in rota cells.
- Admin preview shows trainee-facing view while keeping other people private.
- Admins can create trainee or admin user accounts.
- Admins can reset passwords manually, assign existing trainee accounts to the active 3-month rota, and delete user accounts.
- Resident accounts are automatically deleted after 1 year of inactivity; admin accounts stay indefinitely.
- Email/SMS recovery is shown as a local test flow here and needs a live backend provider for real delivery.
